ROLE OBJECTIVE

The opportunity exists for a driven, organised, and efficient Procurement Specialist to join the Performance54 team. This role will be responsible for implementing and maintaining a thorough procurement process, to help ensure that the Performance54 event department and its portfolio of events stays within budget and maintains good working relationships with all suppliers and contractors.

The candidate will be based in the UK but will be required to travel internationally and adapt quickly to working in new locations and cultures.

KEY ROLES & RESPONSIBILITIES

Procurement

  • Develop all tendering documentation required for a particular event
  • Work across all teams within the Events department, analyse both financial and activity data to identify areas where improvements in efficiency and cost savings can be achieved
  • Act as the coordinator of all contract variations and contract signoffs
  • Be responsible for developing and managing systems to enable the effective monitoring of suppliers and contractors
  • Establish and develop relationships with internal and external stakeholders to share knowledge and develop best practice whilst enhancing reputation
  • Responsible for all contract management budgets – ensuring spend is in compliant with agreed budgets and value for money is demonstrated in all spend decisions.
  • Prepare regular contract management team reports on value for money obtained or any savings achieved
  • Work with Finance to identify, implement and monitor changes to purchasing policy and procedures in line with regulations
  • Lead, as appropriate, on all strategic and commercial contract negotiations for goods, services and works, delivering improved quality, terms and conditions
  • Act as the professional lead for all matters to do with Procurement and Contract Management

Supplier Management

  • Regular communication with suppliers in order to maintain good working relationships
  • Be the main point of contact or relationship holder of certain supplier
  • Understand and knowledge of contract and SLA in place
  • Liaise regularly with internal departments to ensure SLA with supplier is being met
  • Produce post event evaluation to inform future events and ensure consistency of quality of work

Logistics Management

  • Management of event inventory internationally
  • Working closely with shipping agents to ensure event equipment is delivered on time
  • Management of Peformance54 UK warehouse, inventory lists and equipment

DESIRABLE SKILLS AND ATTRIBUTES

  • Top line understanding of freight logistics
  • Excellent attention to detail
  • Comfortable asking questions
  • Experience running an RFP process
  • IT literate
  • Experience using Windows and Microsoft applications
  • Be an excellent communicator and team player
  • Encourage and develop best-practice across the business
  • Able to provide concise updates to stakeholders in a timely manner about event delivery and status
  • Experience in a procurement environment for 3 years minimum
  • Knowledge of the event procurement
  • Commercially aware
  • Excellent communication skills with the ability to liaise with staff/suppliers at all levels
  • Knowledge of contract law, standard forms of contracting and regulatory/ legislative requirements and the consequence of non-compliance
